By using this website or instructing us to carry out works, you agree to the terms set out below.

1. General

Fair Oak Air Conditioning Ltd provides air conditioning, heating, ventilation, and associated services to residential and commercial clients.

All works are subject to written confirmation via a formal estimate or quotation. No work will commence without acceptance of the agreed terms.

2. Estimates & Quotations

• Estimates and quotations are valid for 14 days from the date of issue unless stated otherwise.
   
• All prices are exclusive of VAT, unless explicitly stated as inclusive.
   
• Fair Oak Air Conditioning Ltd is VAT registered and VAT will be applied at the prevailing rate on all invoices.
   
• Prices may be subject to change if project scope, access, specification, or material costs change. Any variations will be discussed and approved prior to proceeding.
   

3. Basis of Quotation

Unless stated otherwise, quotations may be based on the client proceeding with a FOAC Comfort Care Plan.
If the plan is declined, a revised quotation may be issued to reflect alternative servicing, warranty, and support arrangements.

4. Payments

• A 50% upfront payment may be required prior to commencement of works, delivery of equipment, or scheduling.
   
• The remaining balance is due immediately upon completion, unless otherwise agreed in writing.
   
• Payments may be made securely via card using Tyl by NatWest, bank transfer, or other agreed methods.
   
• Late or non-payment may result in additional charges, suspension of services, or legal recovery action.
   
• Prices subject to VAT on final invoice.

5. Cancellations & Refunds

• Cancellations must be provided in writing at least 48 hours prior to the scheduled start date.
   
• Deposits may be retained to cover costs already incurred, including labour, materials, and supplier charges.
   
• Refunds are issued at our discretion where work has not been carried out.
   

6. Site Requirements

Clients must:

• Provide safe and reasonable access to the site
   
• Ensure availability of power and water unless agreed otherwise
   
• Confirm the site is free from hazardous materials and safe to work in
   

Fair Oak Air Conditioning Ltd reserves the right to suspend works if site conditions are unsafe or non-compliant.

7. Completion & Acceptance

• Completion may be confirmed via signed job sheets, digital approval, system commissioning records, or dated photographic evidence.
   
• Any concerns or issues must be raised in writing within 48 hours of completion.
   

8. FOAC Comfort Care & Servicing Plans

Where agreed, the FOAC Comfort Care Plan may include:

• Annual system servicing
   
• Priority call-out response
   
• Labour cover for installation-related faults
   
• Discounted rates on non-covered repairs or upgrades
   
• Service reminders and system health checks
   

The plan remains valid only while annual servicing is maintained and care recommendations are followed. Misuse, neglect, unauthorised modification, or missed servicing may void coverage.

9. Manufacturer & Lifetime Warranties

• Manufacturer warranties apply in accordance with the manufacturer’s published terms and conditions.
   
• Where applicable, Mitsubishi Heavy Industries Premium residential systems installed by Fair Oak Air Conditioning Ltd and maintained under an active FOAC Comfort Care Plan may qualify for a lifetime parts warranty.
   
• This warranty remains valid only while uninterrupted annual servicing is carried out by Fair Oak Air Conditioning Ltd.
   
• Missed servicing, plan cancellation, or third-party intervention will void the lifetime warranty.
   
• Labour coverage is governed by the active Comfort Care Plan terms.
   

10. Photography, Video & Marketing Use

During installation works, Fair Oak Air Conditioning Ltd may take photographs or video recordings of equipment, workmanship, and completed installations.

These materials:

• Will not intentionally capture personal belongings or unrelated private areas
   
• May be used for legitimate business purposes, including marketing, training, quality assurance, and portfolio content across our website and social media
   

Clients may opt out or request limitations in writing before works commence. Requests for removal after publication will be respected promptly.

11. Chargebacks & Disputes

Clients agree to contact Fair Oak Air Conditioning Ltd directly to resolve any concerns before initiating a chargeback. We reserve the right to dispute chargebacks using signed documentation, photographs, communications, and payment records as supporting evidence.

12. Responsibility & Limitations

Fair Oak Air Conditioning Ltd is not liable for delays or costs caused by circumstances beyond our control, including supplier delays, access issues, or changes to client requirements after acceptance.

All works are based on information provided at the time of quotation.

13. Website Use

All content on www.foac.co.uk is owned by Fair Oak Air Conditioning Ltd and may not be copied or reproduced without written permission.

We are not responsible for the content of third-party websites linked from our site.
